Science & Technology

Introduction

In this article, we will guide you through the steps to enable the AI Companion Meeting Summary feature in Zoom and how to generate your first meeting summary. Follow the instructions below for a seamless experience.

Enabling Meeting Summary in Zoom

  1. Log into Your Zoom Account: Start by signing into your Zoom account through the Zoom web portal.

  2. Access Settings: Once logged in, navigate to the settings section. You can find this option under the "Personal User" section on the left sidebar.

  3. Select AI Companion Tab: Click on the "AI Companion" tab. If this feature has been enabled by your administrator, you will see the "Meeting Summary with AI Companion" section at the top of the page.

  4. Adjust User Settings: Here you can customize your user settings. Slide the toggle button to the right to enable the Meeting Summary feature.

  5. Contact Your Administrator: If you find that you cannot enable the Meeting Summary feature, reach out to your company's Zoom administrator to request activation.

Configuring Additional Settings

If you successfully enable the feature, additional settings will appear:

  • Automatic Meeting Summary: You can choose to automatically start the meeting summary for all meetings you host. If this is disabled, you'll need to enable AI Companion Meeting Summary manually for each call.

  • Summary Distribution: Decide how you would like the meeting summary to be distributed:

    • Include the full summary text in the email sent to users (select this option to allow recipients to view the complete summary).
    • Without this selection, users will receive a link to a browser to view the summary.
  • Who to Share With: Select your sharing preferences:

    • Only you
    • You and the invitees in your organization
    • All meeting invitees

Starting Your Meeting Summary

If you chose to automatically start your meeting summary, it will begin once you join the meeting, and you will receive notifications. To manually start your meeting summary:

  1. Click Start Summary: In the meeting toolbar along the bottom of the screen, click on "Start Summary."

  2. Accept Notifications: Acknowledge the notifications to activate the feature. All attendees will be notified that the Zoom AI Companion has been turned on.

Accessing Your Meeting Summary

After your meeting concludes, your summary will be distributed according to the settings you configured. It can be sent automatically to meeting participants via the continuous meeting chat or via email.

As the host, you can also access the meeting summary from the Zoom web portal. Navigate to the "AI Companion" option in the menu, where you can search by meeting topic or meeting ID. When the meeting summary is open, you will have options to edit, share, download, or delete it.
